Too many information silos
Managing important information is more complex than ever. The amount of information explodes figuratively speaking. The information is also distributed over a variety of systems or scattered across various drives. This makes the search and control immensely difficult. Different user interfaces make it difficult for users and affect productivity. In summary, the information landscape in companies is a mess, too complicated and the business eats up unnecessary IT resources. The bigger the company, the worse it is.
Does this sound familiar to you? Then read on and get to know a new approach to ECM that solves all these problems.
Another ECM system can not be the answer
Companies often already have several information management systems. The spectrum ranges from shared network folders, through complete ECM solutions such as OpenText or Documentum, to file-sharing solutions such as Box and Dropbox. Some are on-premises, others in the cloud. The bigger the company, the more systems you can find. Simply adding another repository would only exacerbate the situation.
What if it was not only possible to find information across all systems, but to enrich and reuse information everywhere - without changing existing systems and processes?

Unleash innovations in departments and teams while streamlining existing IT investments
The choice for an ECM system is typically made centrally or top-down and requires changes in the organization and processes. However, when areas and processes are under pressure, changes are very difficult to implement. Thus, a lack of willingness to change often prevents innovations that arise on a small scale. How about individual departments or small workgroups, such as the legal department, accounting or HR, reusing and expanding existing information without disrupting existing systems and processes? This is possible now!
No migration of data necessary
Data migration was previously the largest and most awkward stepping stone if new ECM solutions are to be installed. How do you transfer your existing data into the new system? The process is difficult, time-intensive and expensive. How would it be if you didn’t have to migrate anything? Now you can do without it!
Too many user interfaces
Conventional ECM solutions have not met their promises. The – unfortunately often correct – user’s perception is that using them is complex and difficult to learn. With each new system, there is another different user interface to be learnt. Many users understandably start to work around the system and thus create even more chaos. Wouldn’t it be much better if information in different systems could be used via a uniform user interface that is as familiar as Windows? This user interface has now arrived!
What instead of where
With old ECM systems, it is always a matter of where information is stored – in which folder, in which library, on which site? The problem becomes exponentially larger with each new system. In the new approach for ECM, the save location is insignificant. What counts is the context of the information and how relevant it is for the current task. The new ECM is dynamic and personalised: information is offered differently for different roles, teams and users. It is intuitive; everyone knows what they are working on. The user can happily forget where it is stored.
A bridge between core systems and content
ECM systems are traditionally focussed on the administration of documents and other content such as contracts, offers, invoices etc. that can as a whole be called unstructured information. The structured information from core systems such as CRM, ERP and HR can be the decisive key to administering the unstructured information. The new ECM approach combines the structured information from the core system with the wealth of documents and other unstructured information to make a 360-degree view of the information. Regardless of which system you use, you will find what you need.
The intelligent media data layer
The new generation of ECM systems is very much more than just a location where information is stored and processed. It uses an open architecture that combines the best-possible approaches for analytics, natural language processing (NLP) and machine learning. A new, more powerful approach based on metadata creates an intelligent metadata layer (ILM). An interim layer that harmonises different systems and data storage on the basis of the context. In doing so, information remains at the original place; existing processes and systems are unaffected. Information is automatically classified and organised. The system adapts itself and continually further optimises itself over time on the basis of key figures and user behaviour.
This new approach for ECM is simple, dynamically flexible and smart. M-Files is the pioneer for this concept. Interested? Then click here for more information.
